ACCOUNTS PAYABLE COORDINATOR

Full-Time Employment

Summary:

Coordinate accounts payable functions for the Museum.  Ensure accurate processing of all invoices and checks. Process payments before accruing late fees. Ensure vendor discounts are taken when possible. Prepare accurate yearly and monthly reports. Work with vendors on payment terms to ensure good vendor relations. This position reports to the Accounting Manager.

Basic Function and Responsibilities including but not limited to:

Daily

  • Coordinate the AP function within the Museum guidelines

  • Review records of amounts due and makes sure invoices are paid according to terms and discounts taken

  • Supervise the process and verification of vendor invoices, expense coding, cash advances, travel advances and payments to all vendors

  • Review and supervise the processing of all purchase orders, check requests, and expense reports to ensure activity is properly recorded to the general ledger on a timely basis

  • Administer and develop resource tools to research and resolve accounting issues with internal and external customers; reconcile vendor statements

  • Maintain and monitor petty cash for all departments

Monthly 

  • Audit, and ensure correct coding of charges credit charges to all corporate credit cards including Visa, Shell, Home Depot, Lowe’s, and Sam’s

  • Train associates on travel policies, check request, P.O.’s invoices, and credit cards

  • Prepare journal entries and reconcile various accounts

  • Follow up with employees and vendors to ensure timely payments prior to end of month

    • Process 1099’s and send information to IRS    

  • Yearly

  • Run vendor reports for audit

  • Prepare monthly and yearly reports detailing expenditures for various accounts

Qualifications:

  • Specific Knowledge and Job Skills, including Computer Skills: Sage Software, Excel

  • Web based application for FedEX & Visa statements

  • Education / Certification: Preferred 2 year college degree

  • Physical Demands: While performing the duties of this job, the employee is regularly required to sit, to stand, to walk, to go up and down stairs, to operate foot and hand controls, to use a telephone and to write. Occasionally the employee must lift and/or move up to twenty (20) or more pounds.
